Associations

Description

For each document, it is possible to create it with documents from the document master, local documents and, in the case of quotations/orders (+items), transactions. This is controlled via the Insert button and the menu that appears. When inserting, you can choose between local document references and global document references.

Associations can also be other objects, such as transaction data, master data or calculations. These are inserted into the list by Drag&Drop.

Associations can be stored for all document types via the document history.

This window is used for general maintenance of associations. For example, it can be accessed via the document history for each document to associate it with document references or activities.

: Set standard structuring This menu item is only enabled if an order term with the ID "DOCUMENT_FOLDER_TEMPLATE" exists. Executing this function causes the structure of this keyword to be copied into the current association window.

: : : Select Using the selection mask of the document references, an existing global document reference can be selected from the master data and associated with the object.
: : : Create A new global document reference is created and directly associated with the object.
: : Local document reference
: : : File reference A file can be selected. The path to this file is created as a local document reference. The document is not saved in the database.
: : : File reference (storage in directory) A file can be selected. The file is copied to a directory. The locally created document reference refers to this copy.
: : : Email - Outlook Import (storage in directory) The email marked in Outlook is copied to a directory. The locally created document reference refers to this copy.
: : : Email attachment - Outlook Import (storage in directory) The attachment of the email marked in Outlook is copied to a folder. The locally created document reference refers to this copy.
: : : Last sent email - Outlook Import (storage in directory) The most recent email in the Sent Items folder of Outlook is copied to a folder. The locally created document reference refers to this copy.
: : : New Word document (file in directory) A Word document is created and stored in the "root directory for documents" of the client. If the option "Save emails in subfolders" is selected, the documents are saved in subfolders (year-month). The file name is generated from the class type and the unique number of the object. If a Word document with the same name already exists, a count number is appended (e.g. sales order 000001 -> SALES_ORDER_000001.DOC)
: : : File reference (storage in database) A file can be selected, which is created as a local document reference and associated with the object. The file is imported and saved in the database.
: : : Email - Outlook Import (storage in database) The email marked in Outlook is created as a local document reference and associated with the object. The email is imported and saved in the database.

Linked object Object to which the associations are assigned
Associations
: Structure tree Usually document references or activities are directly associated with a document. However, it is also possible to structure the document references. This can be controlled via the structure tree.

Using the context menu, a new folder can be inserted below the selected node or the current node deleted. If you select a node, the document references assigned to the node are displayed in the association list.

The number of associations assigned to the node is shown in brackets in the tree.

Description of structure node This field can be used to change the name of the selected structure node. Use the button with the disk symbol to the right of the input field to save the change.

Buttons
button Description
Open The document that is hidden behind the association, regardless of where it is located, is opened.
Edit Opens the nursing mask for editing the association. This is different for documents saved directly in the database and document directories used.
Insert Opens the menu item "Insert association".
Delete Delete association
Close The window is closed.
Accept info If the association is a transaction document, the text can be changed in the small editing window and saved by clicking Apply Info. With OLE objects like Word or PDF documents this button is hidden and superfluous

Associations (part and part roles)

There are separate processing windows for processing the parts and their roles (parts, sales item, order item mask, etc.) In this way, for example, the purchasing view of a part can be edited by the purchasing department and, among other things, can be blocked for other employees by the specific editing mask. The editing of the document can, however, be cross-departmental, if, for example, the design department maintains the documents that are to be sent to the supplier in the ordering process. The documents of the part and its roles can be managed centrally via this window.

Linked object The part for which the assignment to document references is to be edited.
Navigation
: Navigation tree In this tree the part, its part roles (sales article, order article, production part, etc.) and, if applicable, the supplier and customer agreements are displayed in a structured way. The selection of an element leads to the fact that in the group "Document references" the documents of the selected element are displayed and can be edited.
Document references
: List of document references The document references of the entry selected in the navigation tree are displayed.
Buttons

Open Opens the document of the selected document reference in the preview. Depending on the file type, Adobe Acrobat Reader, Word or, for example, Internet Explorer is started.
Insert A context menu appears with the contents of the menu item "Insert association" under "Edit
Edit The document reference can be edited in its editing mask.
Remove If a global document reference is selected, the link between the document reference and the part is broken. Local document references are deleted.
