Context menu
Global document reference
SelectUsing the selection mask of the document references, an existing global document reference can be selected from the master data and associated with the object.
: CreateA new global document reference is created and directly associated with the object.
Conditional tableAn existing global document reference can be selected via the selection mask of the document references. This document reference is then the first entry of a conditional table, which is associated with the object.
Local document reference
File (storage in database)A file can be selected, which is created as a local document reference and associated with the object. The file is imported and saved in the database.
: Email - Outlook import (storage in database)The e-mail marked in Outlook is created as a local document reference and associated with the object. The email is imported and saved in the database.
: Email attachment - Outlook import (storage in database)The attachment of the e-mail marked in Outlook is created as a local document reference and associated with the object. The attachment is imported and saved in the database.
: File (reference)A file can be selected. The path to this file is stored in the local document reference. The document is therefore not saved in the database, but the document reference refers to the original document.
: Email - Outlook Import (storage in directory)When this function is called, the e-mail marked in Outlook is saved in a directory (server directory). The file name and directory are defined by the user by means of a query. A local document reference is then automatically generated which refers to the saved email.
: Email attachment - Outlook Import (storage in directory)When this function is called, the file attachment of the email marked in Outlook is saved in a directory (server reference). The file name and the directory are defined by the user by means of a query, whereby the file name is preset on the basis of the attachment. Subsequently, a local document reference is automatically created, which refers to the saved file.

If the marked email has several attachments, one of the attachments must be selected by a user query.

EditThe document reference can be edited in its editing screen.
RemoveIf a global document reference is selected, the link between the document reference and the part is broken. Local document references are deleted.

Fields
FieldDescription
Article
NumberOrder article number; may differ from the part number.
Goods numberIntraStat number
Unspecified articleThis identifier is assigned to order items that are not defined by the master data but by their use. As a rule, these are trading goods that are procured and sold once and are not to be included in the parts master.

This means the following for use:

  • If such an article is copied into the requirement request, the description is not taken from the master data but from the order item.
  • The cost price of the order item is taken as the order price.
(This is the case regardless of the "Unspecified item" identifier, but results from the fact that the order item will not have any supplier agreements nor a standard procurement price).
Search termsTerms to search for the item; the order text is automatically saved as a search term when you create a new order item. If you change the order text afterwards, you must manually adjust the search term accordingly or enter another search term.
Cost elements/account in kindAllocated FiBu account
Depending on whether cost type accounting is permitted by the client, the cost type of the order article can be stored here. Alternatively, one can always select a G/L account if the purchase of this item increases the fixed assets.

Switching between cost type/general ledger account can be done via the pop-up menu of the button or via the main menu.

The cost type/general ledger account is required when countering an incoming invoice and should therefore always be specified.
Order textDescriptive text to be output later in a purchase order.
When saving, it is checked whether the current order text of the order item is different from the part description and whether this already exists as a search term in the part. If not, this search term is generated as a role-bound search term at the order item role.
Purchasing areaPurchasing area; approved requisition items are assigned to the purchasing department based on this area
Order quantity

Minimum order quantity for the part in an order. The following functions are available:

Selection
"Note only"Only a note is displayed in the order that the quantity has fallen short of. Only simple rounding up is supported here.
"Simple rounding up"The requirement is rounded up to the order quantity. If the requirement is greater than the order quantity, it is ordered.
e.g.:
For an order quantity of 10 pieces
requirement is 2 pieces, 10 pieces are ordered.
Demand is 13 pieces, 13 pieces are ordered.
"Round up several times"The requirement is rounded up to a multiple of the order quantity.
e.g.
For an order quantity of 10 pieces
Requirement is 2 pieces, 10 pieces are ordered.
Demand is 13 pieces, 20 pieces are ordered.
Demand is 26 pieces, 30 pieces are ordered.

Status
PartThe part that is connected to the order part. If the role is to be "attached" to another part, a new part can be selected here and accepted with OK.

When creating a new order article, it is not necessarily necessary to select a part of the parts master. If the parts combo box is empty when saving, a message box will appear to confirm whether it is a pure order article. If this question is confirmed with "Yes", the system creates a virtual part which cannot be found in the parts master. This is then referred to as a pure order item.

See also overview part, set, sales set, order set and order item.

: Procurement data

In the field 'Procurement data', in the lower part of the mask, you can enter all purchasing-specific data, such as price and quantity. (Documentation of the price maintenance)
The price can be maintained in 2 different ways:

  1. Menu item Edit->Price->Edit price (old price NOT in history).
    - The price is overwritten, changes are not traceable later.
  2. Menu item Edit->Price->Create new price (old price in history)
    - The old price is given a validity date with today as the end date. A new price with a validity from tomorrow is created. The validity date can be changed as desired and is only to be interpreted as a suggestion by the system.

The "New" button next to the price creates a new price with corresponding validity and serves as a shortcut for the more complicated way via the menu as described above.

: : Packaging unitStandard unit of measure of the order article
: : Input taxVAT key
: : Work planIf a part is ordered which is to be reworked in some way at goods receipt, whether it is a QA, which is carried out in several previously defined work steps, or the part is simply given externally for galvanising, work plans can be selected here in the ordered article and on the supplier's delivery agreements, or only for this ordered article can be entered, which are then cancelled when the goods receipt is posted. The work sequences resulting from this can be found as usual via the work list. From here, further orders for external work can also be created. As long as a goods receipt has unfinished work sequences, it remains in the status "In rework". When the last work sequence has been reported complete or the goods receipt has been staged for external work sequences, the goods receipt item changes to the next subsequent status, such as "Goods to be put away" or "Staging" if it was ordered for a sales order.

Order settings
No goods receipt expectedIf this checkbox is set, no goods receipt is expected for the order, i.e. the item is immediately set to delivered/done when the order is entered.
Additional characteristics

When a purchase order item is included in a purchase order, the characteristics of the part assigned to the purchase order item are transferred to the purchase order item. these are the characteristics that completely describe a part. In addition, however, there may be characteristics or properties of a part that are to be given to the supplier for the delivery of the part, such as tolerance values, container weights, etc.

These characteristics can be assigned to an order item here and are then transferred to the order item.

KeywordsThe classification terms to which the order item is linked are displayed.
Suppliers See also the supplier agreement documentation.
List of supplier agreements

The first column only indicates whether it is the A supplier, the so-called main supplier. This is followed by the supplier name with its supplier number and the order number belonging to the order item.

Price: This is the price negotiated in a supply agreement with this supplier, which has become or will become valid from the date below. Only in the case of real supplier agreements is this price displayed in green, in the case of movements that have been made via a supplier with whom no supplier agreement has been made, this priceis displayed in grey.
The price is also greyed out if the supplier does not have his own price on his supplier agreement (price type: no value). In this case, the currently valid price is taken from the purchase order item master record.

Last price: Here the last price of the ordered article with date at this supplier is indicated.

Display modeThe display mode at the bottom of the window is a filter for whether to display only supplier agreements or all transaction data in the list. Movement data is stored for each supplier who has supplied this part once. Via the order mask, this movement can be converted into a supplier agreement at the touch of a button. For more on this topic, see here.
Conditional A-supplierAs a rule, the A-supplier of an order item is defined via the supplier agreement. In the case of variant parts, however, it can happen that different variants are ordered from different suppliers. In this case, a conditional A-supplier can be specified in the order article.

The creation takes place via the selection of the supplier agreement, after pressing the button "Insert" the selected supplier is taken over into the conditional list. This is also possible via Drag&Drop. The variables can be defined via the "Columns" button and the entry can be edited by double-clicking.

When determining the A-supplier, the information of the conditional supplier is always evaluated first. If no suppliers have been specified here or no condition applies, the "normal" path is taken and the supplier agreement indicator is evaluated.

Documents
: Document referencesList of document references. The global document references are displayed with the box symbol and the global ones with the globe. In addition, global document references can also be inserted as conditional tables.

Of the documents, the description of the document reference is displayed next to the Type. This can be either the short title in the operating language or the description text. The type and file name are also displayed.

(Description of the buttons for maintaining the assignments to the document references)

For procurement documents the control can be set by double click whether this document should be delivered with the order process.

Costs The tab 'Costs' allows you to enter the material and labour costs. In the tab 'Pre-calculations', the pre-calculations made for this order item are displayed.

These tabs can only be selected if the part is a purchased part with own supply. For these parts, the costs do not only result from the order costs, but also from the material and labour costs of the parts provided.

A description of the fields can be found in the tab of the same name on the production roll.
